Monday, 9:10 am. Someone fills out a form on your website. The lead gets manually copied to Zoho CRM, an invoice is manually created, and a support rep doesn’t know that there’s a deal. Nothing is really hard. But it all adds up.
Zoho CRM is designed to keep it all in one place: leads, deals, contacts, quotes, tasks, follow-ups, and related Zoho Books, Desk, Campaigns, and Inventory. It becomes more valuable when your store, payments, accounting software, calls, and email keep it up to date.
PenguinPeak Technologies connects them. We build on the Zoho CRM v8 REST API, Deluge, and Zoho Flow, budget your API credits before launch, and hand over code you own. We work with businesses in New Zealand, India, the United States, Abu Dhabi, and Australia.
It does, and they are not what most people expect. Zoho uses a credit system and measures usage on a 24-hour rolling basis, depending on your version and number of users. It also limits the number of calls allowed per second in the organization. Calls can range from five on the free version to 25 on the ultimate version. Deluge integration calls consume the same credits as API calls, so that you might exhaust your daily credits before lunch.
Zoho access tokens expire after an hour and renew through a refresh token. If you don't handle and store that renewal properly, the sync stops without any visible error. Zoho’s API has also moved through several versions; v8 is current as of this writing, and older ones are retired over time. We build renewal in and review version changes on a schedule.
For basic tasks that just involve triggers and actions, it works well enough. It becomes difficult when you need branching logic, bi-directional sync, large scale, or an error log. We go with Flow for those it handles and code for those it doesn’t.
Yes, until there is an accidental sync that overwrites customer data. Zoho gives you a free developer edition, and sandboxes are based on your edition. We test here, then compare record by record.
Explain your team's manual way of doing repetitive tasks, for instance, whether it is entering leads, chasing payments, or updating deal stages. We will reply with how we would automate it and what it would take.
Plan My Zoho Automation
The easiest way to see Zoho integration is to look at what happens without anyone touching a keyboard.
Beyond triggers, we migrate data into Zoho from other CRMs, build custom modules, Zoho Creator apps and client portals, and add chatbot development on top of CRM data. Monitoring is available for all of it.

Yes, however, only if each field has one owner. Customer information will be shared from Zoho CRM to accounting software, while invoice and payment status will be shared from accounting software to the deal. Problems can arise if both programs access the same field, so it is important to know who owns the field and document that.
All editions of Zoho CRM include API access, even the free one. So there are no separate charges for the API. However, what differs from one plan to another is the number of credits allowed per day, which depends on the plan and the number of users you have. The maximum number of calls also varies by plan.
Most failures come down to four main reasons. The access or refresh token is disabled or saved incorrectly. The script exhausts the daily API credits because it runs too often. Someone changes or removes a field that the integration depends upon. Or an old API version becomes obsolete. We avoid all of these by tracking tokens, budgeting credits, checking for field changes, and regularly reviewing Zoho API announcements.
Apps such as Zoho Books, Desk, Campaigns, and Inventory all use the same Zoho login and come with built-in integrations, so integrating them is largely just setup work. For external applications, you will need the Zoho CRM API, webhooks, or a connector with field mapping, plus error handling. Organizations will need either a native or custom integration, depending on their requirements.
Marketplace extensions are fine as long as they fit your business processes. A custom integration makes sense when you need bidirectional sync, custom field logic, high throughput, multiple systems in a single flow, and audit logging. Extensions may also be updated or unlisted by their publisher; you can’t control a publisher’s updates, while you control your own code. We will be straight with you when we see that an extension meets your needs. Both options are good; the best choice depends on your business processes.
Usually four things: your Zoho CRM edition, the systems you want connected, a short description of what should happen between them, and admin access or a Developer Edition account for testing. If you are unsure about any of these, a short call is enough. We take it from there and send back a written scope.
